So I’m not too sure how many people use Google Calendars, but the honest truth is that it’s a necessity for everything. You, you know, everyone’s weeks are so busy in terms know what you’re doing, different meetings, different agents, different tasks, that it’s super important to use Google Calendars. The other really important part is this is a desktop application or desktop page.
It’s very, very important. You download Google Calendars on your phone and connect it to your Fastwise account. Because effectively, this is what’s giving you the notifications.
Reminders that you have an event or a client meeting, or a client call, something you have to attend to. So I think this is the very basics, and I’m sure a lot of people know how to utilize this, so I’m not going to go in detail how to use it. The main thing is, get Google Calendars, make sure you’re using it.
It’s super easy to use. Say, for example, you have an event. It’s very easy.
I can book out of time, I can know something to do. I can add the guest, which is super important. So if you add a guest so I can say Brennan in here, it will remind Brennan effectively before the meeting.
This is happening. Now think about how to use this, right? So everyone’s speaking to clients, and I’m sure clients, either you’re scheduling phone calls or video sessions or viewings, add this to a Google Calendar event and invite them. It’s super important because we remind them.
It makes it more official. So anytime I get booked in for a meeting and I do sell is I sell companies, right? So when I’m raising VC capital dual calendar is my best friend. Other things you can do is, when you’re looking to have meetings, obviously you can ping up other people’s calendars.
This is Brendan’s Calendar, for example, a lot more busier than mine. He obviously does a lot more things than I do. And you can just go through and know exactly who people are, how busy people are.
Now, remember, if you can do it to them, they can do it to you. So all the calendars are visible. So make sure you update this.
Make sure you put reminders in. You can set reoccurring events, but if you have a client event, effectively stick this in and invite them to a Fuel Calendar invite and effectively it will pop them up on their meetings. Now think about this.
All the clients that are buying property or renting property, they have money, so I’m sure they’re all using Fuel Calendars. People who have successful businesses and they’ve been successful in life probably have a schedule in a calendar. So if you don’t have one, then you’re missing something because they certainly do.
So set up a Google Calendar is really, really easy. Just go to Calendar, google.com it’s already there on the firstbuyers account, and make sure you use it, because you can flip through any agent and see effectively what they’re doing.
So if I look at Bow’s actually got multiple names, but if you look at Jackie, I can just see what he’s doing and how busy he is. But it’s not really for observing how busy people are. It’s more for planning your day.
So the first thing I do every morning is my calendar kicks in on my phone, and it says, this is what you have to do today. Otherwise, how can I remember? There’s too many things going on. Okay, so Google Calendar, download the App Store or the Android Store.
It’s totally free, and it’s super useful if no one’s using it. So that’s the very, very basics. But now I’m going to talk about how we can use it in a much better way, okay? Now, there’s an application called Calendly, and I’ll show you how this works calendar connects to your Google Calendar.
Okay? So this is my calendar, and I can say, look, I’m going to have either the 15 or 30 or 60 minutes options. Let’s just say it’s a 30 minutes option. I can customize this and say, well, when can people book this event? They can book it only 30 days in advance or 15 days in advance.
I don’t want anyone booking anything more. The maximum is 30 minutes. It’s using my existing calendar.
So it’s looking at your calendar and seeing when you’re available. And you can say working hours or you can even customize it. You’re not available at different times, okay? And it will basically remind the consumer or your customer that they have an event.
But let me just show you how this works, because it’s really cool. The people who don’t use this, and I’m sure a lot of people have heard of it, but I’m sure a lot of people don’t use this. So say, for example, I’m talking to a client on WhatsApp? Or I’m talking to a client email, and it’s like, hey, when are you available? I’m available Monday to Wednesday at this time.
And then you’re like, Well, I’m not available at that time, but I’m only available during these periods. This fixes the whole problem. So basically, you can copy this link.
So I can send this to anyone, right? But basically what I’ll show you what the link looks like. You can send this to any customer. It’s linked to your email.
It’s totally free, and it’s linked to your calendar, which means it’s looking at your schedule, so it knows when you’re free and not free. So, for example, if I look tomorrow well, according to my calendar here, which is here, well, I’m not free at 06:00 P.m., so hopefully let me just check this quickly.
1 second. So we just check that correct. This is 635 36 30.
I don’t know if mine is connected correctly, but just make sure it is connected correctly. But you can send this link to any single person, and they can basically just it’s filtering out your calendar and you can effectively just be like, okay, I want to book a meeting. 1130.
So they can see this view, they click next, they put in their name, which is, I don’t know, I’ll make this up. Robert. Robert@test.com.
And they can click schedule events, right? And basically a claimed invitation is sent to your email address, right? So basically when I go to my email now if this actually works, I’m just wondering if I’ve got this connected to my right email, it will say that Robert has put an event into your calendar and that will effectively enter straight into your calendar here. So he’s basically scheduled in a meeting with you. So I’m just thinking, how could you guys use it, right? Think about this, right? You could say, well, maybe a call is a 15 minutes call, which you can just say, hey, if you want to book in a call with me, here’s my link.
It could be that you sent a new one. A viewing could be a three hour viewing. What times are you available? These are the times.
And basically it allows them to effectively book in a calendar invite or a meeting. So the golden part for Calendly is that it cuts out the whole need for you being like, hey, when are you available? Are you available at these times? I’m only free at this time. You just skip all this.
It’s basically fixed that whole problem. So it knows when you’re free. And they can just book in a slot where they can meet your availability and you can change all the timings.
The golden point is you have to keep your calendar up to date because it’s using your calendar to say when you’re not available. For example, I’m flying to Bangkok tomorrow so it can’t book me in for a calendar invite. Then I have an agent team invite tomorrow so it won’t let the consumer book it in.
So firstly, it cuts out the need to be like, hey, when are you available? What times do you have? It’s like, listen, I’m available all these times, just booking whatever feels true. And you can take this link here and you can basically copy it and you can just send it on. WhatsApp? You can send it anywhere? WhatsApp you can send on email, it doesn’t really matter.
I’m free at this point, booking a meeting with me. It should be on every email you send. If you want to chat with me, this is my availability, I’m going to send it to you right now.
It should just be on every footer, every email. Happy to chat, just let me know. And you can schedule a video call or a normal call, or a virtual viewing, or a real physical viewing if you want a bigger event, if you want a two hour meeting, you can set one up by just clicking New event type.
That’s the first thing. The second thing is that it will send the reminders to you, right? So let’s look at this one. So if I edit this, I can basically say, okay, so this is the type of options I have.
It will send a text notification to confirm automatically. It will send an email two days before, it will say an email one day before and it will say a thank you email afterwards. And it could be a thank you email with, hey, these are some survey questions.
You can set this all up yourself. You just got to set the schedule. You can say text them two days before, text them one day before and it will just be like, hey Robert, we have a meeting tomorrow and it’s automatic just confirming that the meeting is tomorrow, here’s a link, et cetera, et cetera.
And you can put the whole itinerary there. So what this will do is this will increase your communication with your clients because you’re basically saying, hey, I’m available, speak to me. It would also make any booking that you make with them, whether it’s a viewing or a call more official because it will hit their calendar and they all have calendars.
I promise you most people in the world will have a calendar format and it will remind them they have a meeting. And that reminding function is making the meeting more official because say for example, I’ve got a meeting with the hospital bang of hospital, which I did the day before, I get a text message automatically. It’s their workflows and it’s like I probably have to go to this know, it’s definitely like a mental reminder.
So the amazing thing about calendarly is for you guys, it’s totally free, like 100% free. You just sign up, which is calendly.com. You sign up and it’s free.
It just connects your Google account. I mean there’s obviously better paid subscriptions, better basic. This one I’m running is just free.
So I could just basically say copy link, send this link to anyone and just be like, hey, book me in for a meeting and they can go like, I want Thursday at 1030, I can book out my lunch. You can book all this out so it’s not going to say they can book in any time. You can set your working hours.
I can say my working hours only nine till six or eight till five or seven till four. So it won’t give you the options. And also it will utilize your calendar to say the events that you’ve already booked in will already not be here.
So it makes it really efficient and really effective to kind of book in meetings. So calendarly.com, make sure you’re using Google Calendar.
You can see other people’s calendars so we can see yours. Be efficient, set yourself meetings, give yourself a daily kind of schedule that you’re going to work towards and use this software to really communicate with your clients that’s kind of the final thing. Put this in the email, say, hey, if you want to have a call with me, you can chat to me anytime.
But if you’re unsure, this is my availability or if you’re having a viewing so you can have one for you can rename these to be like, well we can say this is not a 30 minutes one, this is my viewing one. So I can change the name and just call it anything I want to and be like, this is going to be the one I use for viewings, this is going to be the one I use for calls, this is going to be the one I use for something longer for my management meetings or et cetera, et cetera. So that’s kind of it.
It’s going to be short and suite, so use your calendar. All the calendars are here, they’re all shared. You can see who’s busy, who’s not, but that’s not what it’s used for.
It’s basically used for managing your day to day and having follow ups with your clients. Your clients will add it to their calendar with reminders using calendar and it will allow them to see your availability. It makes it super easy for them to book any meeting with you at any point, makes yourself available.
